RFPG (“Reley Fast Property Guru”) is a product of Reley Fast Software Ltd, Company No. 16002149, registered in England and Wales. Contact: support@rfpn.net. Reley Fast Software Ltd is the data controller for the information described here, and is registered with the Information Commissioner’s Office under registration reference ZC177195.

What we collect

To use RFPG you need an account. We ask for three things when you sign up, and everything else comes from the scan itself.

• Your name, email address and phone number, given when you create an account. The email identifies your account, verifies it with a six-digit code, meters how many scans you have used, and lets us contact you about the service. The name and phone number let us reach you about your account and about support requests.
• Property information you enter — the address, property type, room names and dimensions, the works you select, and any purchase price, expected value or rent you choose to enter.
• Photographs and video you record during a walkthrough, together with the property they belong to.
• Audio recorded with that video. If you talk while filming — pointing out damp, a cracked tile, something you are worried about — the soundtrack is recorded with the video and transcribed, and what you say is used as evidence alongside what the camera sees. If you would rather not be recorded, simply do not speak; the scan works without it.
• Precise location (GPS), only if you tap “Use my location” to fill in an address — we need a precise fix to identify one specific house on a street, not just the general area. We use the coordinates once to look up the address and do not store them.
• Crash and error reports. If the app fails, we record the error message, the page it happened on and your browser type, so we can fix it. These are not linked to advertising and are not shared with anyone.
• Basic technical information that any website receives, such as your IP address, used for security and rate limiting.

Where it goes

• Your walkthrough video and photos are uploaded to our servers in London and stored against the property record.
• To produce the condition analysis, the video and its soundtrack are sent to Google (Gemini), which acts as our processor. Google may process it outside the UK.
• Address lookups use postcodes.io, the EPC register, Ordnance Survey Open UPRN and OpenStreetMap Nominatim. Only the coordinates or postcode are sent, never your account details.
• Verification emails and support replies are sent through Microsoft 365, which handles our mail.
• Payments are handled by Stripe. We never see or store your card details.
• We use your photographs and video to improve our AI. The images and footage you send us — from a walkthrough, or from the tidy-up tool at rfpg.ai/tidy — are used to test and improve the models that read a property, so the estimates get better. Our lawful basis is our legitimate interest in improving a product you are using. We do not sell them, we do not publish them, and we do not give them to anyone else for their own purposes. Walkthrough footage is never published or shown to anyone outside RFPG — a walkthrough films someone's home and the people in it, so it is used to train our models and for nothing else. We keep images and footage used this way for 24 months, then review whether they are still needed. You can object, and you can ask us to delete them — email support@rfpn.net and we will.
• We do not sell your data, and we do not share it for advertising.

Please be careful what you film

A property walkthrough can capture other people, their belongings, documents and personal effects. Please only film what you need for the estimate, and do not film people without their agreement.

How long we keep it

• Account details: for as long as your account exists, and up to 12 months afterwards.
• Walkthrough video, photos and analysis: kept with the property record so an estimate can be checked later, and used to improve our AI as described above. Ask us and we will delete a property and its footage.
• Photographs sent to the tidy-up tool at rfpg.ai/tidy: kept, with the tidied version, and used to improve our AI. That tool asks for no account, so tell us roughly when you used it and we will find and delete them.
• Server logs: a short rolling period for security purposes.

Deleting your account

You can delete your account, your scans and the video and photos in them at any time, from inside the app under Your account, or by emailing support@rfpn.net from the address you signed up with. Full details, including the payment records UK tax law requires us to keep: rfpg.ai/delete-account.

Your rights

Under UK GDPR you can ask for a copy of your data, ask us to correct it, ask us to delete it, object to how we use it, or ask us to restrict it. Email info@rfpn.net and we will respond within one month.

Data protection complaints

If you are unhappy with how we have handled your personal data, you can complain to us and it costs you nothing. Email info@rfpn.net, or contact Reley Fast Software Ltd, Company No. 16002149, registered in England and Wales, at support@rfpn.net.

We log every complaint when it reaches us and acknowledge it in writing. Our standard is to acknowledge within one business day, and it will never be more than 30 days. We then investigate, keep you informed while we do, and tell you the outcome.

You can also complain to the Information Commissioner’s Office at any time, at ico.org.uk or on 0303 123 1113. You do not have to come to us first, and coming to us first does not affect that right.

Storage on your device

RFPG stores your invite code, account token and the job you are working on in your browser’s local storage, so the app remembers where you were. Clearing your browser data removes it. We do not use advertising or tracking cookies.

Estimates, not valuations

Every figure produced by RFPG is an indicative estimate, not a quotation and not a RICS Red Book valuation. It is not financial, investment, tax or legal advice. RFPG and Reley Fast Software Ltd are not lenders.
